Planning and approval of the planned schedule of your team'S (before the beginning of the month)

You must prepare a schedule for your own up to 7 working days before the beginning of the next month team. Then it must be checked against the provisions of the labor law and subsequently approved.
Example: a schedule for June 2020 should be scheduled and approved by May 23.

2Insert absence

Insert any absences.
If we have information that the employee will have absences, e.g. vacation leave, we add this by using "Add absenteeism" function. To do this, click on the day from which you want to add absenteeism (fig. 1, [1]), then we run the command "Add absenteeism" [2]. We complete the information on the type of absenteeism, duration and consecutively we save the event (fig. 2).

3Plan work for the subordinate team

The fastest way to do this is to use the Generate Schedule function. Select the "Generate a schedule" command (Fig. [1]), then select employees [2], set the shift [3] and save [4] By default, this function will insert a job for the entire month, excluding Saturdays, Sundays, holidays and possible absences employee (if inserted earlier).
The result of the previous operations on the schedule is shown in Fig.

4Check possible violations of the Labor Law

Using the "Recalculate the schedule" function (Fig., [1]) we check possible violations or violations of the law Work. If the message "No notifications" [2] appears above the schedule, you can approve the schedule [3]. If there are any errors, you should correct the work and then recalculate the schedule.

5Approve schedule

The end of the stage of planning the work schedule for the subordinate team is completed by approving the planned schedule by calling the "Confirm" command (fig. [3]). This operation checks again if they are possible in the timesheet errors and if not, marks the graphic as "Approved". After correct approval of the schedule, we will receive the following information above its calendar (fig.):

The planned schedule [GP] is in the approved state, which means that:

  • Schedule editing is limited - for example, it is not possible to add work in groups
  • The executed schedule [GW] was created on the copy of GP.

On the approved planned schedule, we have the following options (Fig.):

  • making individual adjustments by using the "Replanning" function [1];
  • delete job function, Delete data from to "- eg in case of transferring an employee to another facility or contract termination - [1];
  • adding absence [1];
  • adding tags [1];
  • setting actual working hours - in the case of flexible working hours [1];
  • adding work for newly hired employees or transferred from other teams "Add extra scheduling" - [2];
